Job Description

Job Summary:

The Accounting Clerk is responsible for Accounts Payable, Accounts Receivable, Payroll, and some Human Resource functions.

Activities & Responsibilities

Accounts Payable

  • Review and verify invoices and cheque requests 
  • Enter invoices into system
  • Prepare and process EFT payments
  • Prepare and process cheque runs
  • Monitor accounts to ensure payments are up to date
  • Research and resolve invoice discrepancies and issues
  • Correspond with venders and respond to inquiries
  • Provide supporting documentation for audits
  • Other responsibilities as assigned

Payroll

  • Collect and verify timekeeping information for all employees
  • Record payroll data in payroll system and verify all amounts before making payments
  • Process payroll by established deadlines
  • Alter employee tax status based on TD1 Federal and Provincial
  • Prepare and Process EFT payments
  • Prepare and process payroll cheque runs
  • Update employee banking records to process payments accurately
  • Address employees payroll related concerns and provide accurate payroll information
  • Record employee questions and concerns about payroll services and communicate those to Finance Officer
  • Maintain compliant policies and procedures for processing payroll
  • Prepare and process T4 and T4A’s.
  • Prepare and Process Government Remittances – CPP, EI, Income Tax, EHT
  • Prepare and Process Union dues and remittances
  • Navigate various Collective Agreements to ensure compliance
  • Develop, manage and maintain comprehensive payroll records
  • Ensure compliance with CRA, Occupational Health and Safety, Ministry of Labour, Workplace Safety and Insurance Board, Employment Insurance.

Human Resources 

  • Maintain Employee Records
  • Communicate HR Policies and Procedures
  • Collect, Analyze, Organize and Maintain Employment and Tax Information
  • Maintain HR Files and Database
  • Update and Maintain employee benefits, employment status, and similar records
  • Maintain records related to grievances, performance reviews, and disciplinary actions
  • Perform file audits to ensure that all required employee documentation is collected and maintained
  • Perform payroll/benefit reconciliations

Accounts Receivable

  • Generate and send out invoices
  • Carry out billing, collection and reporting activities according to specific deadlines
  • Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted.
  • Verify discrepancies and resolve clients’ billing issues
  • Facilitate payment of invoices due by sending bill reminders and contacting clients

Qualifications

  • Accounting & Payroll Education
  • Strong Computer Skills including Microsoft Suite – emphasis on Excel
  • Strong organizational & time Management Skills
  • Excellent communication abilities with aptitude in problem solving
  • Strong Knowledge of payroll taxes and ability to articulate knowledge to employees
  • Knowledge of Occupational Health and Safety Act, Employment Standards Act, Payroll Deductions, Taxable and Non Taxable Benefits
  • Responsible and maintain high level of confidentiality
  • Familiarity with GAAP
  • Experience with Sage 300 ERP an asset
  • Experience with Sage 300 ERP – Canadian Payroll an asset
  • Experience with data collection and database maintenance
